To include expenses in a project budget, go to Manage > Projects and select the project that you would like to edit. In the Budget section, ensure that Total Project Fees is the budget type and that the Budget Includes Project Expenses options is selected. Click Save and you should be all set.

If you’re using Harvest for internal cost tracking (rather than for billable time and billable expenses), then entering your cost rates and tracking against a project budget will work as markkokaru suggested.
In addition to the Dashboard, you can review your project reports under Reports > Project Budget.
RE: How do you manage products/Item ? IN: Help!
The solution for fixed fee items (like day rates and products) is to use expense categories and then enter them as expenses on the date that you would like to bill for them.
To do so, go to Manage > Expenses and click the Add Category button. Enter a description, price and per value in the fields provided. To add products to a project, go to Timesheets > Expenses, select a date, project and expense category, and then add the product(s) as required.
Harvest is designed primarily as a time tracking tool for service-based businesses (rather than an online store), but this workaround will work for general fixed fee items like products. I hope that helps!

@jb510: When the recurring invoice template was first created, was “(1/1/2012 – 2/1/2012)” entered as the task description? For recurring invoices, it’s best to use something more generic like “Monthly hosting” and then let the date of the invoice dictate the time period. I hope that helps!

Our number of post-trial conversions is very high, and I can only assume that the other many powerful features of Harvest must be the reason for Harvest’s ongoing success. I hope that helps!

- If no retainers have been applied to any projects yet, the last option in the list will be Apply To All Projects;
- Once a retainer has been applied to a project, that project is removed from the list along with the Apply to All option;
- If a retainer has already been applied to all projects, then the client will be removed from the list.

Retainers can be created for either all projects for a client or on a per-project basis. I’m not exactly sure which you’d like to do, but when creating the first retainer for a client, you can choose to assign it to all projects for that client or just to a specific project.
Once a retainer has been created, then subsequent retainers must follow the same set up (all projects or per-project) until all retainers for that client are exhausted.

The invoice notes field is alive, well and functional. It’s just built to display estimate notes instead when an invoice is created from an estimate. You can enter specific invoice notes under Invoices > Configure > Default Values.

Is the remainder considered a bad debt? Do you think that the customer will pay the balance? If not, you can manually accept the partial payment and then write off the remainder after the payment is applied.
If you think the customer will pay the balance, then it’s probably better to leave the invoice open. I hope that helps!

In case it was missed, here’s a possible workaround for multi-part invoices that another customer suggested:
1. Create an estimate for the total project amount.
2. After the estimate is accepted, convert the estimate to an invoice.
3. Apply a 50% discount, for example, to the invoice (additionally, you could change the language from “Discount” to “Due Later”).
4. Send invoice.
5. Apply payment to invoice when received – invoice will be marked as paid.
6. When the project is complete, open up the paid invoice and remove the 50% discount. The previous payment will show as applied to the full invoice.
7. Save and send your new, final invoice.
You could use the same process if you billed in increments other than 50%.

Custom categories must be assigned manually on an invoice, but the two default categories — Product and Service — are linked to expenses and tasks, respectively. In addition, Product and Service can be renamed if necessary. I hope that helps!

In Harvest, clients are typically businesses and contacts are the people that work at those business. That being the case, it’s unlikely that we would add a feature to transfer contacts between clients.
Would it work to add a client (business name) for each of your contacts (potential prospects)?

This is quite common with sales tax in general, I think, when both paying it and collecting it. However, keeping track of tax credits is probably best done inside your accounting software or by your bookkeeper. Harvest was designed primarily as a time tracking and billing tool, not really to handle accounting.
That said, if you generate an invoice report from Harvest under Invoices > Reports, the total at the bottom of the report will break out the total tax charged to clients.

Once an invoice is created, the time and expense entries on that invoice become locked. As you said, additional entries are only eligible for future invoices.
If the first invoice has not been sent yet, you could delete it and then recreate it. Deleting it will unlock the time and expenses on the invoice and the new invoice will grab everything that’s available.

We haven’t received any comments from Syncr about the price increase, but my guess is that the price increase may come from the extra workload required just dealing and working with Quickbooks. In our experience, it’s not a very 3rd-party-friendly application to support.

This is probably a question that’ll be best-answered by your bookkeeper or accountant, because I think it depends on whether you do your books on a cash basis or an accrual basis.
An accrual basis is more common, and that would dictate that you mark the invoice as paid when you receive the cheque. The deposit would be recorded in your accounting software whenever it happens after that.
But again, please check with your accountant!

We currently don’t have an audit trail, but you can limit who approves timesheets on a per project basis. Whoever is assigned as a project manager to a project will receive the approval alert emails for that project. I hope that helps!

In order to produce profit and loss statements, balance sheets and cash flow statements, it’s best to use a full-blown accounting package.

Thanks for the feedback! Currently, Late stamps appear whenever an invoice is past due.
As a workaround (if the 15-day payment term option is too long) then we recommend using the Custom option and setting a customized due date. For example, if you select Custom and then choose a date 7 days in the future, then the Late stamp won’t appear until the invoice goes past due.

Currently in Harvest, we do not have a way to create a rolling balance for invoices.
I should also mention that a rolling balance would be unusual from a bookkeeping standpoint and may lead to double-paid invoices and confusion on the part of your clients and bookkeeper.
You can always add an additional line item to new invoices to cover previous invoices, but I would check with your bookkeeper first to see what their recommendations are. I hope that helps!

We really have no control over who decides to integrate with Harvest via our API. We publish our API so that other developers can build onto Harvest as they wish, but because the API is a public document, there’s no way that we can control who decides to use it.
I realize that that doesn’t help your situation, but hopefully it explains a bit about Harvest and 3rd-party services.

Harvest selects the next available invoice number on a per-client basis. So if you would like to prepend “2012” to all of your invoices, the first invoice of the new year will need to be done manually for each client. After that Harvest will add new numbers that include the 2012 prefix.

Correct! Once timesheet duplication is off, then it’s off until you turn it on again.
The Pending tab in our mobile apps has to do with syncing mobile data to the web server. If there is nothing listed under Pending, then you’re all synced up.
The Pending tab will typically fill with entries if your mobile happens to be offline while tracking time, and then it’ll sync and clear the Pending tab once you reconnect. I hope that helps!

Thanks for getting in touch! It sounds like you may have timesheet duplication turned on which copies over all entries from the previous day.
The option to turn off timesheet duplication appears once per day in the web app. You can only turn off timesheet duplication before adding any new entries to the timesheet. Once new entries are added, the option to turn it off is removed until the following day. To turn it off:
- Go to Timesheets > Time at the start of your next work day.
- On the new timesheet, click Clear All Rows And Start Fresh to turn off timesheet duplication.
By turning off timesheet duplication, you should be able to clean up your timesheet quite a bit. I hope that helps!

Harvest has been designed for tracking billable hours and expenses rather than reimbursable hours and expenses (revenue versus costs), so currently Harvest doesn’t have what you’ve described. This would probably best be served by a typical accounting package.

It is possible to have different rates per person on a per project basis. To do so, go to Manage > Projects and select the project that you would like to edit. Under the Invoice Method section, select This Project Is Billable and we invoice by Person Hourly Rate.
Once Person Hourly Rate is selected, you’ll be able to assign a customized rate to each person within that project. This same process can also be used for customized rates for tasks.
If you’d like to reuse the customized rates in a new project, go to Manage > Projects and click the Duplicate button to the right of the project and a new project will be created with the same rate information.

I realize you said that you don’t use them, but if you change your mind and would like to track projects in this manner, go to Manage > Projects and select the project that you would like to assign a budget to. Select a budget method, enter a value and click Save.
Once that’s done, you can track project progress under Reports > Project Budget.

The Late stamp is applied to invoices whenever they pass the due date and remain unpaid. So if you select Due Upon Receipt and a day passes without it being paid, then the invoice will be marked as late.
If you would like to extend your due date (and if the 15-day option is too much), you can select Custom when assigning a due date and pick a date that suits you.

I should also mention that when tracking by duration, you can enter time as either minutes or decimals. So entering 1:30 and 1.5 will yield the same result.

When an invoice is overpaid, the Amount Due will become a negative amount to indicate a credit to the client. For example, Amount Due: -$40 means that the client has a $40 credit.
By adding the credit amount from the invoice to the remaining retainer balance shown for the client under Invoices > Retainers, you can determine the total amount of funds that the client has on deposit with you.

Hello Mike. You can set up your timestamps to be recorded by duration rather than start and end times. That way you can pause a timer, answer the door, and then restart it when you’re ready.
To do so, go to Manage > Account Settings and click the Edit Preferences button. Under the Timesheets Timestamps section, select Track Time By Duration.

Thanks for writing back! We don’t want to mislead our customers about what we’re working on, and publicizing a list of frequent requests or a current development timeline would do that.
We take popular feature requests very seriously, but popularity doesn’t solely determine our direction. If we were to detail what the most popular requests are, that would create an expectation that we’ll start at the top and work down. For good reason, that doesn’t always happen.
A current development timeline would create similar confusion. For many reasons, our development focus sometimes changes, so publishing a timeline would create an equal amount of frustration for our customers.
Most importantly, thank you for your feedback and concern over Harvest’s direction. We do appreciate your input and we take it very seriously. Even more, we love that we have customers that care as much about Harvest as we do.

You can start and stop timers whether you’re tracking time by duration or with timestamps. If an entry with start and end times is restarted, the timestamps will be dropped and only the total time for that task will be tracked.

No worries! We realize that subtasks would be helpful. We get a lot of feature requests on a daily basis, so we don’t comment on development timelines.
As a possible workaround, you could include the parent task name into the task name. For example, “Copywriting – Brainstorming”, “Copywriting – Draft”, “Copywriting – Editing”, etc.

We don’t have this functionality at the moment, but as a workaround, you could add the alternate email address as an additional contact under each client. That way, you can select both the actual client and your alternate email address as recipients for the invoice.

Comp time could be tracked by adding a nonbillable task and then logging time against it. There wouldn’t be any automatic carryover between excess billable hours and comp time, but Sarah could add her comp time manually and then make a note to reference what billable time it came from.
