Hi @jwelch – You’re not missing anything, and this is how we designed the invoice permissions for PMs. When we were doing research on how the new PM permissions should work, most of the people we talked to said they’d like PMs to be able to create invoices but NOT record payment for them. If PMs could create a retainer, they’d also be able to withdraw from a retainer, and that’s a form of recording payment. Since we didn’t want PMs recording payments, we limited PM access to retainers as well.

Hi @thebluegroup – We have changed Harvest so that if people who have the PM permission under Manage > People are automatically marked as a PM on projects to which they’re added. I know that someone having PM permissions does not necessarily mean they’re managing every project, but we felt it was more consistent and transparent to have these people always marked as PMs when they were added to projects, especially since this permission is now linked between projects and a user’s profile (if you mark someone as a PM on a project, it’ll update the permissions in their profile to PM).

Hi @thebluegroup – We’re going to be updating this design so that people who are project managers on archived projects can be changed to regular users without receiving this error. We’ve designed things this way so people who are project managers on current projects aren’t inadvertently marked as regular users and removed as PMs from projects they are actively managing, but there’s no need to apply this same logic to people who don’t have any active projects they currently manage.

We’re hoping to have permissions out within the month. As long as nothing unforeseen comes up, we’re very well on our way.

In terms of submitting ideas, I’d say the forum is the best “public” way to submit ideas. We have talked about having a way for people to easily see/vote on popular feature requests, but since we’ve got a good sense of the top priorities in Harvest right now, we don’t have plans to build out a feature request system like this. But you’re definitely on to something, and I’m going to add your feedback to our feature request list.

If things go accordingly, we should have our new permissions out within the near future (I don’t want to give an exact date just in case anything unforeseen arises). But rest assured you’ll be seeing some changes very soon.

Thanks for the extra info on what you need in a site admin. Unfortunately, we don’t have any plans to separate different administrative roles from time tracking the way you’ve outlined. If it seems like this is something a few people need, we could consider it in the future.

2) We’e discussed adding a department manager type role, but the plans for this isn’t clear yet. I’ll add your name to our feature request list for this.

3) I’m not sure what you need in a “site admin.” What exactly do they need/not need access to?

Hi @a.milli and @geri huibregtse – You can set project budget alerts from each project. If you click into a project and scroll to the Budget section, you’ll see a check box to receive budget emails when a project reaches X% of the budget. These should go to admins and PMs.

Hi @a.milli – If you want to lock every project for the span of two days, then you can run a DTR for a two-day period that includes all projects (the default option for the report) and mark all hours in that report as invoiced. If for some reason you wanted to exclude projects from being locked, you could just filter the report so that only certain projects would become locked.

Let me know if that’s unclear, but it does sound like Harvest can do what you’re looking for.

Hi @a.milli – It locks the time range for that specific project. Say you marked two days as invoiced for Project A – As long as you’ve filtered the Detailed Time report to show Project A only, only the entries that are part of that project will become locked.

Hi @a.milli – We don’t have plans to allow locking of timesheets on a daily basis, since that would make the UI more complicated for most of our customers. If you need to lock in smaller units, you can always approve on a per-project basis, or lock certain hours/days by marking them as invoiced via Reports > Detailed Time. Cheers!

RE: Importing won deals from Highrise not working IN: Help!

Hi @gsnixon – I just checked, and there is an option to import from Highrise in the Import/Export menu on Manage > Projects as long as your deals have been marked as Won and have not already been imported into Harvest.

Try syncing your account again via “Edit Highrise Preferences” on Manage > Account Settings, and when the sync is over, click the “Import Won Deals” link at the bottom of the page. It should take you to Manage > Account Settings, and it should show the option to import from Highrise in the Import/Export menu.

Let me know if you’re still having trouble, and we’ll investigate.

Right now, only administrators can add projects, and since they can also see all projects, there isn’t a way to restrict the list to only the projects they add. We are, however, working on some new user permissions at the moment, so I was hoping you could tell me more about the additional permissions your need.

@nicole_dw – As for how to handle this month’s invoice, I would clarify in the description that the last item on the invoice (the flat-fee item) is not calculated by hourly rate. You’re right, though. This could be confusing for your client, and we need to think of a better way to handle this on an invoice.

Hi @nicole_dw – You can see the total Uninvoiced Amount for your account from Reports > Time. The Uninvoiced Amount at the top of the report will correspond to the timeframe you’ve chosen. Does this work for you, or do you still need the totals on the Uninvoiced Report?

@henning – That’s a great suggestion, and we do have a separate feature request for invoices in different languages (as opposed to the entire Harvest account – usually, it’s just an issue with client-facing material). @lonehorseend – Rounding is an all or none setting in Harvest. It’s either turned on or off for all clients and projects. A workaround for this would be to turn it on and off on a case by case basis if you needed it for some clients and not others.

@busse – With the most recent update we’ve launched for Harvest Reports, the Project Budget and Uninvoiced reports will now reflect rounding if you’ve got it turned on for invoices. You can read more about the latest release here.

RE: Unlock locked project? IN: Help!

Hi @flensted – The project is locked because someone has already created an invoice for that project for the time period to which you want to add time. When you invoice, it locks a time period, so if you invoice for a project in the AM, you can’t add hours to it later in the day, nor could you go back to another day that was included in the invoice and try to add hours for that project.

In order to “unlock” the time period, you’d have to mark the hours for that project and that time period as uninvoiced. To do that, go to Reports > Detailed Time, run a report for the locked project, and choose the timeframe that is locked. Once you’ve run the report, you can click “Mark Hours as” and choose “Uninvoiced.” This should open up that time period so you can add additional entries to it.

Hi @inzenet – You can track time via start and end times. Go to Manage > Account Settings, scroll down and click Edit Preferences, and change the Timestamp option to Track via start and end times.

Hi Justin – You do have the option of deactivating PayPal if it’s too confusing for your clients. Go to Invoices > Configure > Online Payments, click into the PayPal settings, and click the Deactivate PayPal link at the bottom of the page. This way, the PayPal button will no longer appear in the invoice, but clients could pay via another gateway if you have one set up.

Hi Timothy – We can turn off the unit price and quantity columns on our end for you. They’ll still show while you’re creating the invoice, but they won’t show on the final copy of the invoice (what your client sees). Am I correct that’s what you want? I can go ahead and do that for you. Cheers!

Hi Adrian – Under Reports > Time, you can click into any project report and (if you’re viewing the Project Lifespan) see the total billable amount for the project, and the billable amount for a person throughout the entire project. However, we’re not planning on adding an additional column that show the “cost” of each person on the project (which, it sounds like, means the percent of each staff member towards the billable amount of the project). Sorry for the inconvenience.

Hi @jalabiso – From Reports > Project Status, in the Project Budget view, clicking Export to [CSV/Excel will give you an export with a summary of all project budgets. It will show the project, the budget, how much of the budget has been spent, the percentage of the budget spent, and what you budget by.

However, if you click into a project and are looking at the details of a project budget, the export, as you noticed, only shows detailed time entries. It does not show the budget.

I can add to our feature request list that you’d like a detailed export of the project budget, and thanks for your feedback!

Hi @karenand – I agree, the trash icon is a bit confusing, especially because it can have two different functions (if no time is tracked to a task, the trash button will delete it), and having the archive interaction more closely match that for projects and people would be an improvement to the app. We aren’t working on the Tasks section of Harvest right now, but I will document your feedback, and thanks for being in touch!

Hi @wesleydavid – I think the problem might be that in your account, the Time Display (Manage > Account Settings) is set to view time in Decimal format vs. HH:MM format. The iPhone app only tracks time in HH:MM format, so the amount of time you track on your iPhone looks different that the amount that shows up when you’re logged in via a web browser, but is actually just a different format. For example, 2 minutes will look like 00:02 on the iPhone and 0.04 in Harvest when your Time Display is set to Decimal.

Hi @Vern – In order to delete dummy projects, you have to delete all time associated with those projects. In order to delete dummy clients, you have to delete all projects associated with those clients. Essentially, delete the dummy time first, then the dummy project, then the dummy client. Is it possible that this is an issue with the internet in your office? Does this happen when you access your timesheets from a different place? Hi @ovidiu, I did look into your account, and everything looked fine. Since you started using start and end times on Friday, only that entry, and any future entries, will show your start and end times. It also only shows once you stop a timer. Also, if you run a detailed time report, you should see start and end times starting as of Friday.

On our end, there’s no way to tell exactly how a customer will pay an invoice – you could have PayPal enabled, but we don’t know that that’s how your customers will pay.

Hi @ovidiu – Thanks for your feedback! You could use Reports > Detailed Time as a “timesheet” for your client. This will give you an exportable report of all of your time entries for a given timeframe. If you have your Timestamp set to track via start and end time (go to Manage > Account Settings, click “Edit Preferences,” and change this under “Timesheet timestamp”), this report will also show when you started and stopped a task. It will also show any notes you enter while you’re tracking time.

Right now, there’s not a way to automatically insert breaks into your day, or bill at different rates based on the time of day/site you’re at, but I will add these to our feature request list for you. Cheers!

Also, @akr, your invoice does show that you sent a reminder in the Invoice History, but it says that you sent the invoice, and doesn’t differentiate between that and a reminder. This is a bit unclear, so I’m going to make a note about it.

Hi @cjuon – You’ve done exactly what I would have recommended by putting your PayPal information in the Notes section of your invoice.

Also, the $0.50 transaction fee is for PayPal Business Payments (so a different type of PayPal plan that Website Payments Standard), and isn’t a lower fee that happens solely because you’re invoicing from Harvest. Put simply, if you have a PayPal Website Payments Standard account, you’re going to pay the standard PayPal fees no matter whether your customers are coming from Harvest or are manually entering a URL.

Hi @Kevin Axe – You could use the retainer feature for this. One potential flow would be to bill your client the entire amount due at once (like you would with a normal retainer), but specify on the invoice the different amounts due and when they’re due. So you’d have 50% of the invoice due up front, and then, at the end of the project, they can pay you the remainder.

Hi @Jordan, There are a couple things you can do. First, @Jim Kring’s work-around is what I would have recommended myself. You can track the cost of the project in the project notes, and refer to that information before invoicing. Second, if your billing takes place before the project is completed, then the retainer feature would work best. Again, that depends on the billing set-up you have with your client.

Hi @tjompa – Do you need to credit a specific item? You can always enter a negative sign in the unit price column, and that will show up as a negative line item on the invoice. Then you can re-send that invoice to your client. However, there isn’t a way to send a written-off invoice right now from Harvest, but I’m going to add this to our feature request list. Hi @irahim – Glad that you were able to get things started! Yes, you create projects on a per-client basis. Also, you can still track time for that project even though you sent an invoice for it. Sending an invoice only locks the hours that were part of the invoice, so time after the invoice was sent is unlocked.

Hi @umb_evelyn – Thanks for getting in touch! The reason we have it so you can submit your timesheet at any time is because everyone needs to submit timesheets at different times during the week. Maybe you’re going on vacation for Thursday and Friday, so even though those days haven’t happened yet, it makes sense to submit a timesheet on Wednesday. Since your timesheet isn’t locked after you submit it (only after it’s approved), you can still enter time for this week, and re-submit it later. Also, since submitting a timesheet is a two-step process, this allows someone who inadvertently hit the “submit” button to cancel the submission.

We’re playing around with the idea of making reports editable; however, we aren’t sure we want to make it so there are two separate ways to edit time (in Reports and in Time). We had thought about just linking Detailed Time reports to time entries, so it’s easier to jump back and forth. This does present a good case, though, for why we should consider making time editable from two parts of Harvest, and it gives us another perspective from which to approach the problem. Right now, anyone who can view the budget receives budget notification emails. If you have “Show budget report to all employees and contractors” selected, then everyone will receive notification emails for that project. However, if you uncheck “Show budget report to all employees and contractors,” then only project managers and administrators will receive those emails. Otherwise, there’s no way to hand-pick who receives those emails and who doesn’t.

Thanks for getting in touch! One alternative for you would be to view which projects have uninvoiced hours from Reports > Project Status. If you’re in the “Active Projects” view, you’ll see a column with uninvoiced hour totals. When you click into one of those projects, select “Create Invoice” from the “More Actions” menu. This takes out all of the guess work as to whether a project has uninvoiced hours or not.

However, I do agree that we should make it more obvious that a project has uninvoiced hours from Invoices > Overview. This would be a much simpler flow than visiting Reports > Project Status first. I’m going to add your comments to our Feature Request list, and thanks again for your feedback!

Hi @ocorral,

Thanks for letting me know that we need to update that FAQ. Since we’ve integrated with other payment gateways, the flow is a little bit different. Instead of a box to disable payment via PayPal, there is a box to uncheck if you do not want to include a copy of the Web Invoice. This would disable your client from viewing the invoice online, though they could still view a PDF of the invoice, and it would also disable them from paying via PayPal. Of course, it also prohibits them from paying via another gateway if you happen to have two.

I hope this is helpful, and thanks again for letting us know we need to modify our FAQ.

@arrochar.james, I totally agree that having an option to choose between editing in-line and linking reports to timesheets would decrease usability. Probably wouldn’t go with that approach. So, if we had to choose one, what would we do?

We haven’t gotten to the mock-up stage with this part of our new Reports section yet, but here are some thoughts I have on both sides:

Editing in-line:

Pros – Keeps you on one page, reduces the numbers of clicks back and forth between different sections of Harvest. Cons – Provides multiple ways to edit time (versus just on timesheets), and therefore, becomes confusing as to what changing something in a report changes throughout the rest of Harvest Does it preserve the original entry for the purposes of keeping a record? When we edit a time entry in an invoice, the original time entry does not change. We’d have to figure out how we’d want this action to work in reports, and whether, perhaps, that would also change how editing time in invoices works.

Linking reports to timesheets:

Pros – Provides one way to edit time, and it’s clear that if you edit a time entry, the original record is changed. Cons – More clicks, and takes you out of the flow you were just in: going to Reports to Timesheets back to Reports is quite the adventure through Harvest when all you want to do is look at a report!

As we explore this idea more, these are the types of ideas we’re going to be exploring (and more). As you mentioned, there’s a lot to explore in both flows. Don’t be surprised if we come back for more input as this project comes into development. Thanks again for taking the time to chat!

Hi Jaap –

A client log in is another big project we’ve got in the wings, and it is something that’s related to invoicing (ex. a client could log in to view/pay their invoice). However, your clients should be able to see a PDF button on the Web Invoice without needing a log-in. If you email invoices, the link your client receives takes them to the Web Invoice, and they’ll see a PDF button on the top of the invoice. You can see what they see by clicking into any invoice and selecting “Web Invoice” from the “More Actions” drop-down.

@iamhenry – A “viewed” invoice feature is a great idea. This would definitely open up the lines of communication between Harvesters and their clients.

Also, can you clarify what you mean by generating invoices that include a fixed fee? Are you asking about attributing fixed fee projects to hours tracked in Harvest? Right now, you could add a line item to an invoice that includes billable hours by clicking the “Add Row” link below the last line item on the invoice. This way, you can invoice for billable hours and fixed fee items alike. Of course, if this isn’t what you need, just let me know.

We’re trying to figure out how to make invoices customizable in a way that works for a wide-range of people. Something we’re hearing more and more is that people need “Tax Invoice” (or just a general “invoice” or "Estimate) heading to appear, but obviously, this disappears if you’ve uploaded a logo (@sherring, @Jim, @urgit). This is something we’ll be implementing as we go through the invoice customizing process, and it’s a fix that will likely be out before we’ve got the ability to fully customize an invoice.

@jaapoost – We just added the ability for customers to download a PDF of an estimate from the Web Estimate. I hope you find this helpful. Also, I know that people have been asking for invoice customization for quite a while now, but your comments aren’t falling on deaf ears. This is definitely a [huge] project for the new year, and we’ll keep in mind that PDFs need attention in addition to Web Invoices.

@solusit, thanks for your input on scanning in your own paper for the invoice background. That’s one i haven’t heard before, and it would definitely give invoices a customized feel.

Again, I know changes to the invoice have been a long time coming, but we want to make sure that when we do it, we do it right. Thanks for taking the time to keep checking in.

We know how important it is that our customers be able to easily interact with their clients. Client log-in is high on our list, but we’ll be adding the ability to directly send reports from Harvest in the meantime (we’re beginning to make some general changes to the Reports section of Harvest). If you have any additional feedback on how you’d like a Client Log-in to work (what they should see, what they’d be able to do), send it along!

We’ve heard that a number of times, and this way, those tasks you want on a single project would no longer be tasks (which could be chosen for any project), but sub-projects for one project. @sylvainlemire- You can archive a task by selecting if from the list in Manage > Tasks and clicking the trash can icon. If a task already has time tracked on it, this function will not delete the task but archive it. After it is archived, you will see a link above the task menu that says “Manage Archived Tasks.” If you ever decide you need to retrieve that task, you can go into that list and retrieve it.

Hi @sylvainlemire- I’m more than happy to log this as a feature request for you, but I wanted to let you know that a good work-around would be to add the tasks to projects as you have been, and then to archive those project-specific tasks once the project is done. This way, those tasks won’t clog up your system after the project is done, but you could reactivate them if need be. Let me know if this would work for you, and if not, I’ll add this post to our feature request list.

Hi @jlrdouglas- Have you tried using the detailed time report for this? If you got to Reports > Detailed Time and run a report for the timeframe of the project (you might need to use the “custom” category for this), you will see that there is a drop-down menu on the report that says “show.” If you choose “all invoiced hours,” you will see all the hours billed so far on a project.

If this doesn’t quite get at your request, feel free to send along more information and I’ll add it to the feature request log.
