Unfortunately, there’s no real “scheduling software” that Harvest integrates with — all scheduling components are part of larger Project Management tools, like Basecamp. Hey guys, just a heads up — you can sort of get this functionality by using expense categories. Simply set up a category for each rate, record it as a unit price, and then you can enter the number of days in the Expenses section of the timesheet, and Harvest will then record the total billable amount for your clients, and you’ll be good to invoice. Not ideal, but it might work for some of you!

No, there’s no feature for employee’s schedules. However, I could imagine you could probably export your timesheets to a CSV or Excel file and compare against a master list fairly easily!

It’s certainly something to think about, but even “simple” project management features can take a ton of time and energy to develop. Part of “the harvest way” is to make sure whatever we release is up to the standard that we hold ourselves to, which is pretty darn high. We’ll definitely keep you guys in the loop, though, if we ever try to take this on. :-)

Jordan — Jon was referring to keeping a record of progress towards a budget using either an hourly rate or an hours budget. Not necessarily what you’re looking for.
Another workaround would be to simply track the fixed-fee sections of a project (or a project as a whole) as an Expense. That way, you can still create your invoice based on tracked expenses, yet still track you and your employees’ time (without an hourly rate, obviously.)

Hey there — The expenses section is more designed for tracking expenses that you incur over the course of a project. That is, for supplies and for flat-rate services that you’ll be billing your clients for. There is a Notes field that will allow you to include any details you need to. Does that help clear things up?
Being able to record a separate tax amount for expenses is, however, something on our feature request list, and I’ll add your +1 to our list!

Hi there – I think this is just a semantics thing: A timesheet in Harvest has two components – tracked time and expenses. They’re submitted and approved together. Hope this helps!

Hey there — thanks for the feedback. The reason Harvest behaves this way is to show users specific, unaltered time for themselves and their employee on the detailed time reports and timesheets, and then invoice based on rounded values. That said, I can definitely see your point. If you’re getting your clients to sign off on your time, you certainly don’t want to present them with fewer hours than you’re going to be billing them! Your best bet is to use the Excel/CSV export. Those, by the way, aren’t meant to be finished products. They’re simply there to get the information out of Harvest and allow you to format them in whatever way you want.

Hey there – there are two methods for creating retainers for an individual client in Harvest. A client can have a single retainer that applies to all projects, or it can have retainers on a per project basis — that is, one retainer for Project A, one retainer for Project B, etc. Each kind of retainer, once opened, can be replenished by creating a new retainer invoice from that retainer’s page, or can be closed, once the balance is drawn down to zero. Hope this helps!

Hi there — you can totally change the Tax field to read VAT on your invoices. Just head over to the Invoices > Configure page and click on the Translations button. You can customize every field there!

Your best bet for this is to create secondary tasks for tracking time to when working during these hours w/ the appropriate higher billing rates. Hi henning, this probably isn’t something we’re going to add into Harvest anytime soon, but thanks for letting us know you’re interested in seeing it. This sort of thing is better handled with things that are a little more accounting oriented than we are. That said — why would clients see invoices that reflect a net value? Isn’t what you’re billing your clients, by definition, your gross income?

The good news is that it’s dirt simple to do — just click the Duplicate button next to the project’s name, rename it, archive the old one, and you’re off to the races!

Hi Plato – couple of ways of doing this. If you’re generating your final invoice based on project hours and expenses, retainers are the best way to go. Workflow’s like this:
- Send estimate
- Estimate accepted
- Generate & send retainer invoice (note: if they’ve already sent you the money, you can skip the ‘send’ part of this step.)
- Get money, mark retainer invoice as paid
- Do work
- Generate invoice based on tracked time and expenses
- Apply retainer balance to invoice
- Send final invoice to your client
- Get the rest of your money
- Be happy
Otherwise, if you’re not generating your invoices based on tracked time and expenses, and you’re working on flat fee projects, you can simply use standard, free-form invoices, using a negative-value line-item to reflect previous payments.

Hi Carrie! Whenever you create a new project, Harvest will tell you what the most recently used project code overall was, as well as the previously used project code for that client. Unfortunately, we don’t have any way of automatically generating random project codes. Sorry about that!

Contractors can’t be administrators of a Harvest account, and therefore, no administrator can be classified as a contractor, which is why those buttons aren’t there.

Hi There! To delete an entry that’s been archived, you’ll need to unarchive whatever portion of that project has been archived to make it editable once again. Usually, either the entire project has been archived, or simply the Admin task for the Internal project has been archived. You can check on both of these things from the Manage > Projects page. If the project isn’t on the list, the whole thing has been archived. If it is, click on it to view its settings, and click the small arrow with a circle in it to unarchive the task on the project level, and then the entry will be deletable!

Hia! Attachments to invoices is something that’s on our requested feature list, and I’ll add your comments to our notes. However, any invoice you send from Harvest should arrive in your client’s inbox sent from whatever email address you use as your Harvest account, so consistency shouldn’t be a problem. That said, attachments to invoices would certainly be a great solution, thanks for the feedback!

Hia! All Harvest invoices are in decimal time as opposed to HH:MM time. Therefore, .01 is 1 one-hundreth of an hour, rather than one minute. That’s where the $.35 comes from – it’s 35 cents for .01 hour, or 58 cents per minute!

But, in the meantime, you’ve already sorted the best way of dealing with that sort of thing – quantity of one, and the cost for the task in the unit price field.

A bit about me: I’m another musician added to the Harvest gang (or should I say “orchestra?”) with a whole host of string instruments (violin, guitar, banjo, amongst others) under my belt, with a few oddballs as well – accordion, anyone?
