What happens to time cost when it is invoiced?
Does the cost and nominated rate fix time/cost after it has been invoiced? or do they remain modal (as in can they be affected by a change in project or peoples rates).
Also on a slightly related issue, can you fix time entries as invoiced at an item level. Previously trying this it looks like it is limited to the report you ran, without the ability to ‘select’ individual entries.
There is only one rate that costs are calculated from. If the rate changes the costs will change as well. We don’t take a snapshot of when rates change versus when costs are incurred.
You’re right – time entries can not be marked invoiced/uninvoiced at an item level. Only at a report level.
Hope that clears up any confusion!
Thanks Barry that clarifies the treatment of time cost. We recently tried the project rate and then reverted to the persons rate and then headed into invoicing. We did three separate tests:
1. By Project Hours
2. by Persons Hours
3. By Tasks Hours.
All three rendered different figures, I assume this is not correct but the only aspect which we could determine as different was that the project hours had held onto the ‘project rate’ which had been switched back. Can you clarify this for us. In theory I guess the total should be uniform across all methods.
Regards, Tim
Sorry Barry further to my last note. If a cost is marked as invoiced, the rate remains modal? also what if the project is archived? I guess what we are trying to work out is how we can modify rates over time.
I’ll address your final questions first. If rates change over time, running reports to see the value of work you completed last year at a different rate (for the same project) will not display what you actually invoiced for. The invoice itself is frozen in time. Any reports generated in Harvest are going to use the new rate, however. It’s a trade-off: greatly simplified code that is easier to maintain for some oddities in reporting.
With regard to the inconsistent invoicing by project/person/task hours, I think it would be best to write in to support so we can take a look at the specific example. If there is a bug here, we’d like to fix it. If not, we’d like to clarify how things work for your specific case.

Shouldn’t this be mentioned somewhere? I didn’t know that reports were “ballpark figures” after you change the hourly rate? (Or did I miss it completely)
